Adding item groups: Item types settings

Item types settings

On the Item types settings section the user may specify
some properties of the item types included by a particular item group:

Item types settings section
  1. Item types have description 2: If this checkbox is ticked, an additional description can be added to the item types (included by the item group) which can also be used internally by PIRO Fusion users or by customers on printed reports.
    1. Item types description 2 is auto generated: If this checkbox is ticked, the secondary description of the item type will be automatically generated according to a defined format. The checkbox is only shown if the Item types have description 2 checkbox was ticked.
    2. Description 2 format: The user may specify a format (using some standard codes interpretable by PIRO Fusion) based on which the description 2 of the item
types will be auto-generated. For instance, the quantity of subitems belonging to a particular item group can be automatically displayed in the item type description 2.
  2. Item types contain subitems: This setting enables creating complex styles by adding more subitems (components) to a particular item type. If the checkbox is ticked, the Subitems section will be shown on the Item type details form, where the subitems can be selected and added to the item types included in the item group.
    1. Allow variants for subitems: By ticking this checkbox you allow the specifying of more subitem types that could replace a particular subitem on the item types of the item group. This functionality could be useful in the case of those item types that should have some interchangeable components. For instance, you might create a particular ring style and in order to fully satisfy customers with varying tastes you decide to make it available with different metal types. In this case, the exact variation of the components of the
style will be determined when the style is added to a job order. However, other variants can still be specified afterward if necessary.
  3. Item types can be used as subitems: If this checkbox is ticked, the item types (included in the item group) can be added to other item types as subitems, otherwise the item group and the item types included can’t be selected (as they won’t be displayed in the selection list) on the Add subitem form.
  4. Item type can have markup: If this is selected, markups can be added to the item types of the item group on the level of customers and customer categories.
  5. Group’s item types can be added to jobs: The item types of the item group can only be added to job orders if this checkbox is ticked, otherwise they can’t be selected on the Add job item form in the Item type field.
  6. Item types have unit amount: If this checkbox is ticked, a default amount represented by one unit of the item type (included in the item group) can be specified on the Main info section of the Item type details form. In the case of metal items, this functionality can be used complementary to the item type quantity to track both the number of units and the weight represented by one unit. Ticking this checkbox will also influence the price calculation of the metal as in this case the total amount of metal (used to derive the total price) will be calculated by multiplying the quantity by the unit amount.
In the case of metal items the number of units used for a job can be tracked in the Quantity field, just like the item weight, both of these will be taken into account in the price calculation.
  7. Item default show on printed invoice: If this is ticked, the item types of the item group will have the Show item on printed invoice checkbox selected by default on the Invoice settings tab of the Item type details form so they will be shown on printed invoices. However, if you don’t want to show particular item types of
the group on invoices you can uncheck the Show item on printed invoice checkbox on their Item type details form. This might prove useful for instance when you create
item types for the services you use, and you want to show the majority of services on printed invoices (so you select the Item default show on printed invoices checkbox on their Item group details form), however, you want a few specific services (like quality checking) to be excluded.
  8. Ignore item types on purchase orders: If this is selected, the item types of the item group will be ignored when purchase orders are generated based on the item types on job orders (on the Items on job orders tab in the Purchasing menu).
  9. Item types are manufactured: Whenever the item types, of the item group, are used as subitems and a purchase order is generated from a job order that includes the parent item, these item types will be ignored (as they are manufactured in-house).
  10. Reorder quantity: You can specify here the item type’s quantity that will be reordered in case of the item’s stock declines under the minimum inventory level. In the same time, this reorder quantity has to consider whether an item type can be ordered only in batch.
  11. Min/Max inventory level: You can indicate the minimum and maximum inventory levels allowed for the item types of the item group in this field. PIRO Fusion tracks the item types’ minimum inventory level. If an item type’s stock declines under the defined minimum inventory level, you can set up the auto generation of a purchase order (PO) containing the item type’s necessary quantity. The PO auto-generation-process works only when the Allow automatic PO generation admin setting is active; this can be found in the General settings tab’s Inventory settings section.

Default attributes

Default attributes tab

The Default attributes tab is only shown if the Group has custom attributes checkbox is ticked on the Main info section of the Item group details form. It allows to determine values of the attributes that the item types of the item group will have by default whenever they are added to an order. However, these attributes can be modified when the
item type is added to a job order or even afterwards. It is advisable to select the attribute variation which will be most frequently owned by the item types of the item group.
